The XYZ Police Department recently completed a SWAT analysis and identified weaknesses in the records management system (RMS) used by all members. They have partnered with Hexagon Incorporated to address these issues and will be merging and converting the existing RMS to Hexagon. This process will take 12 to 18 months, and members from each patrol shift and facility have been assigned to work with the team. The goal is to have a fully operational Hexagon RMS in 12 months. Deputy Chief Archer is overseeing the project and welcomes feedback from the members. To all members of the XYZ Police Department, last month marked the end of a long SWAT analysis of the organization. With your help, we identified several weaknesses and deficiencies that, as an organization, we need to correct. Most of the changes that will be made will come slowly over time, and with your continued input. One change that we, as a command staff, are making is with the records management system all of us here use to perform our jobs. Overwhelmingly, the records management system, or RMS, was identified during the SWAT as the main point of frustration for all members of the department, regardless of rank or assignment. We are moving to address this immediately. We have signed on with a vendor, Hexagon Incorporated, to take over our RMS needs. Onboarding this new RMS will take time, expected 12 to 18 months starting from now. We will be merging and converting our existing RMS to Hexagon, which means you all will be impacted and even inconvenienced from time to time as this process proceeds. I have tasked each sergeant to work with Hexagon team and me in building and rolling out this new RMS. I have also assigned one member from each patrol shift and one member from each facility to work with the team. The goal is to bring you all along with the process and give you folks a real part to play in making this system work for all of us. The project has started and each of you assigned to work with this team has already been notified and given directives. Our goal is to go live with a fully vetted and operational Hexagon RMS in 12 months time. I believe you will see that Hexagon represents the latest in law enforcement RMS with capabilities far beyond what is possible with our current and outdated RMS. As the Deputy Chief of this great organization, I am responsible for shepherding this project along and welcome your feedback as we work together to make this transition a success.
